Your free hours are enough for 2–3 full assessments, so you can see the difference before you spend anything.

After your free trial, SmartPlans runs on a simple pay-as-you-go model: £3.50 per recording hour, billed at the end of each month. You only ever pay for what you use.

If your team runs a lot of assessments, ask your Customer Success Manager about our subscription plans - you'll get a lower hourly rate in exchange for a monthly minimum.

About your SmartPlans free trial

SmartPlans is available to business customers only. By submitting this form, you are entering into a legally binding agreement with Birdie Care Services Limited on behalf of your agency or company. You must only complete the form if you have legal authority to sign up to contracts on behalf of your agency or company. On completion of this form, we will email the billing contact on file for your agency to notify them that you have completed this form.

Your free trial includes 3 hours of SmartPlans recording per Agency Hub. These hours are available to you immediately on activation at no charge, subject to these SmartPlans Free Trial Terms

How and when your trial turns into a paid subscription

Once your 3 free hours are used, SmartPlans automatically transitions to a pay-for-use plan. No further action is required from you - billing begins from the moment your free hours run out. There is no separate notification that your trial has ended; it is your responsibility to monitor your usage.

If you do not wish to continue with SmartPlans, you must cancel before your free hours are exhausted (see How to withdraw from the free trial, below).

Pricing

Once your free trial hours are used, you will be billed on a pay-for-use basis at the rate of £3.50 per recording hour. Usage is rounded up to the nearest full hour at the end of each billing cycle.

Alternatively, if you prefer predictable monthly costs, a subscription plan is available from as little as £2.00 per recording hour (minimum 5 hours per month), with rates varying by volume commitment. Speak to your Birdie account contact or email support@birdie.care if you are interested.

Fees may be adjusted annually in line with CPI or up to 10% (whichever is higher), with at least 30 days' written notice. Full details are set out in the SmartPlans Additional Product Terms.

Contracts and billing

  • Pay-for-use: No fixed term. Your plan continues on a rolling monthly basis until cancelled. Billing is monthly in arrears, through your normal Birdie invoicing process.
  • Subscription plan: Fixed term, aligned with your main Birdie subscription. Renews automatically. Billing is monthly in arrears, through your normal Birdie invoicing process.

How to withdraw from the free trial

If you wish to withdraw from the free trial before your 3 free hours are exhausted, you must:

  • Send written notice of cancellation to support@birdie.care.
  • Cancellation takes effect within 2 business days of our receipt of the email.

You will not be charged for any usage within your free 3-hour allowance.

How to cancel the paid plan

Pay-for-use plan: Send written notice of cancellation to support@birdie.care at least 10 days before the end of the current calendar month. Cancellation takes effect on the first day of the following calendar month. Notice received fewer than 10 days before month end will take effect on the first day of the second following calendar month.

Subscription plan: Send written notice of cancellation to support@birdie.care at least 90 days before the end of your current SmartPlans subscription term or Renewal Period. Notice given fewer than 90 days before the end of the term will not prevent automatic renewal.

Note: cancelling SmartPlans does not automatically cancel your main Birdie subscription. These are separate.

Frequently asked questions

Isn't AI too risky for clinical assessments?

That's why we built SmartPlans the way we did. For high-risk clinical questions, you write the answers yourself. For complex judgements, SmartPlans highlights relevant quotes, but you write the answer. Only standard, lower-risk questions get an AI suggestion, and you must review and confirm every single one. It's smart assistance, not dangerous automation.

We already use another transcription tool.
How does SmartPlans compare?

We've heard that with standalone tools, you save time recording but then spend it searching and copy-pasting into Birdie. SmartPlans solves this: it's built directly into your workflow, and the whole team can access transcripts, which isn't always possible with other systems.

What about data privacy and GDPR?

SmartPlans is built in line with the principles of data protection and privacy by design. All data is held securely, and in line with the UK GDPR.

What will the CQC think of this?

SmartPlans is designed to support CQC compliance. It feeds directly into Birdie’s assessment templates, which are built to align with CQC standards. By providing a clear, auditable trail from the initial conversation to the final care plan – with every answer cited back to the source – SmartPlans helps you demonstrate that your process is safe, effective, and responsive.

My team isn't confident with technology.
Will they be able to use SmartPlans?

If your team can use the Birdie app, they can use SmartPlans. You hit 'record' before the conversation and 'stop' when you're done. The AI works in the background, so when you open the assessment, the information is already there for you to review.
